What we collect and where it comes from
We collect the minimum needed to quote, sell and deliver. Almost all of it comes from you.
- WhatsApp messages. Your name, mobile number, business name, delivery postcode, the products and quantities you ask about, and the content of the conversation.
- Trade account form. Business name, company number, contact name, phone, email, delivery postcode, what you buy and your monthly volume.
- Orders. Invoice address, delivery address, the name and phone number of the person receiving the goods, and confirmation that payment has been received. We do not hold card numbers. Card payments are processed by the payment provider named on the quote.
- Companies House. For trade credit applications we check the public register for your registered office, status and officers.
- Website. The website collects only the technical data needed to serve pages, such as IP address and browser type, held by our hosting provider. We do not use advertising cookies. You do not need an account to use it.
We do not collect special category data and we do not knowingly deal with anyone under 18. We sell to businesses, not consumers.
Why we use your data and our lawful basis
| Purpose | What we use | Lawful basis under UK GDPR |
|---|---|---|
| Answering an enquiry and sending a quote | WhatsApp messages, contact details, postcode | Steps before a contract, at your request |
| Taking and fulfilling an order | Order, invoice and delivery details | Performance of a contract |
| Opening a trade credit account | Form details, Companies House record, credit-reference search | Legitimate interests in checking who we extend credit to |
| Keeping accounting and tax records | Invoices, payments, delivery records | Legal obligation |
| Chasing unpaid invoices | Contact and account details | Legitimate interests |
| Sending marketing | Name, business name, contact details | Consent only. See the marketing section below. |
Where we rely on legitimate interests we have balanced them against your interests and rights. You can object at any time by emailing sales@londonpallettrucks.co.uk.
Credit-reference checks for trade credit
Trade credit is available to UK limited companies and LLPs, subject to checks. If you apply for credit terms we will:
- check your company at Companies House, including filing history, status and officers;
- search your company with a credit reference agency, which records that a search was made;
- where the agency requires it, we may search the personal record of a director or LLP member, and we tell that person first.
We do not run a personal search on anyone who has not been named on the application.
If we decline credit, we tell you why in plain terms and you can still buy by bank transfer or card. Credit decisions are made by a person, not by an automated system alone.
You can apply on the trade account page.
How we use WhatsApp
WhatsApp is our main channel for quotes, orders and questions. When you message us:
- your number, profile name and messages are processed by WhatsApp, which is operated by Meta, under WhatsApp's own privacy policy and business terms;
- we keep the conversation as the record of your enquiry, quote and order, because the quote and order confirmation are written there;
- we save your number against your business name so the next person who picks up the thread knows who you are;
- we never send broadcast or promotional messages to a number that has not messaged us first, and any marketing message tells you how to opt out.
Photos you send us of delivered goods, damage or your loading bay are stored with the order record.
Orders, factory partners and delivery
Made to order at our factory partners and delivered to your door by pallet carrier. Typical lead time 8 to 12 weeks from order confirmation. Deposit 30% on order, balance before despatch.
To do that we share the minimum with each party:
- Factory partners receive the product specification, quantity and our own order reference. They do not receive your name, business name or contact details.
- Pallet carriers receive the delivery address, the name and phone number of the person receiving the goods, and any access notes you give us, so the driver can call ahead.
- Freight forwarders and customs agents receive shipment details in our name, not yours.
Full delivery terms are on the delivery page.
Marketing: consent only
We do not send marketing without your consent. Replying to a quote, opening a trade account or placing an order does not count as consent to marketing.
If you do opt in, we may send occasional messages about new products, lead times and trade offers by WhatsApp or email. Every message tells you how to stop. Reply STOP on WhatsApp or email sales@londonpallettrucks.co.uk and we remove you within five working days.
Messages about your own enquiry or order, such as a quote, a deposit request, a shipping update or a delivery date, are service messages and are not marketing.
How long we keep your data
| Record | Kept for | Why |
|---|---|---|
| Quotes, orders, invoices, delivery records | 6 years after the end of the financial year | Companies Act and HMRC record-keeping rules |
| Trade credit application and searches | Life of the account plus 6 years | Credit decisions and disputes |
| WhatsApp enquiries that do not lead to an order | 12 months from the last message | So we can pick up a later enquiry |
| Marketing consent and opt-outs | Until you withdraw it, and the opt-out itself indefinitely | So we never contact you again by mistake |
| Website server logs | Held by our hosting provider for a short period | Security and fault finding |
When a period ends we delete the record or strip the personal details from it.
Your rights under UK GDPR
You can ask us to:
- tell you what personal data we hold about you and give you a copy (access);
- correct anything that is wrong (rectification);
- delete data we no longer need (erasure);
- stop or limit how we use it (restriction and objection);
- give you a copy in a common file format to pass to someone else (portability);
- withdraw consent to marketing at any time.
Email sales@londonpallettrucks.co.uk with your business name and the number or email you contacted us from. We reply within one month. There is no fee unless a request is clearly excessive. We will not treat you differently for exercising a right.
If you are unhappy with our answer you can complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113. We would rather hear from you first so we can put it right.
Security and changes to this notice
Access to order records, the WhatsApp Business account and the trade account inbox is limited to the people who need it, protected by passwords and two-step verification. Card details never touch our systems.
We update this notice when our processing changes. The date at the top shows the current version. Our sales terms are on the terms of sale page and our warranty and returns policy is on the warranty and returns page.
Frequently asked questions
Do you run a credit check when I open a trade account?
Only if you apply for credit terms. Trade credit is for UK limited companies and LLPs, and we check the company at Companies House and with a credit reference agency, which records the search. A named director may be searched too, and we tell that person first. Buying by bank transfer or card involves no credit search at all.
What happens to my WhatsApp messages?
They become the record of your quote and order. WhatsApp, operated by Meta, processes the messages under its own terms, and we keep the thread so the next person who answers knows your business and your order. Enquiries that do not lead to an order are deleted 12 months after the last message. We never broadcast to numbers that have not messaged us first.
Will you send me marketing?
No, not unless you say yes. Quoting you, opening a trade account or taking an order never counts as consent to marketing. If you opt in, every message tells you how to stop, and replying STOP on WhatsApp or emailing us removes you within five working days. Service messages about your own order, such as a delivery date, are not marketing.
